Booking Agents in Reservation Manager - Overview


A few things to Note:


  1. Floor Plans are necessary for your Booking Agents to be active and available
  2. Capacity is dictated by Floor Plans & Tables
  3. To avoid overbooking: a. Use auto-assignment of tables b. Use NEW BOOKING to access booking agents in ACP Calendar Grid to book reservations, including walk-ins
  4. For Enterprise (multi-brand) clients, Floor Plans and Booking Agents occur at the Brand context level.

The Overview:

 FLOOR PLANS

A.  Floor Plans control allow you to create a virtual representation your tasting room's layout with all tables, bar-tops, and seating areas accounted for.
      NOTE:  A location can have multiple Floor Plans, and multiple Booking Agents have the same Floor Plan assigned, and affect capacity there after.
      

B.  Floor Plans utilize your already created Locations in the Company settings.

C.  When Setting up Tables in the Floor Plan, the Max Parties Setting can allow for more than one group to be seated at a "Community Table".

BOOKING AGENTS

A.  Booking Agents are the controls for tasting experiences as they are viewed on your web site: what your customers see, the information requested of them.

B.  Through Booking Agents you can set if a payment method is required to book and/or email and/or phone number and ask if specific needs during a visit or dietary restrictions. And as of August 2023, you can add an order to a reservation choosing specifc prodict to be included or as optional.

C.  Booking Agents can have more than one Floor Plan allowing for booking the same experience in many areas.

D.  Booking Agents can be limited to a specific Customer Type and/or Club Tier.

E.  Availability can be set by day with specific time slots and party capacity for each day.

CALENDAR

A.  The Calendar Grid and Tabs are the visual by which you can see and plan your day, add new bookings, and change reservations already made or requested.

B.  Requested tab: Reservations can be placed via your website and will be received as requested. 
      NOTE:  "Requested" the default setting and can be altered to "Booked" through the Booking Agent settings.

C.  You can print or download the day's reservation for the Reservations Tab by clicking the Excel icon for download, or the printer icon to print.

D.  Preferences (Prefs) controls the details shown on the grid for a booking, the preference by which it is viewed, and includes a Current Time Indicator providing a line on the grid that inidcates the current time of day. 

E. Use NEW BOOKING to access booking agents in the Calendar Grid to book reservations, including walk-ins. This is necessary to affect capacity and avoid over-booking.

F.  Capacity indicators on the left of the calendar grid can be set to view in the Company > Location Settings
