Location Settings
The start of many functions of eCELLAR are Location Settings.
These are accessed via the Company tab > Locations.
- Location Settings are a foundational component of eCELLAR and can directly influence how the system manages your fulfillment, inventory, bookings, and brand configuration.
- Each location serves as a distinct operational unit with its own rules and designations.
- The settings can determine where and how inventory is pulled, as well as define pickup and shipping fulfillment behavior, reservation capacity, tax application, and more.
- Because location settings impact multiple modules across the platform, it’s essential that any edits are made with a complete understanding of their downstream effects.
- NOTE: When in doubt, reach out to eCELLAR Support before making changes - incorrect configurations may result in service fees or system disruption.
The following are controlled or affected in the location settings:
- Pickup Address
- Pickup Fulfillment
- Shipping Fulfillment (secondary to the Shipping Zones & Methods)
- Maximum capacity for Booking Agents and Reservation Manager
- If the location has inventory or not
- Tax Status
- Brand Settings
Location Overview Page
- On this landing page the Brand Settings can quickly be assessed and reviewed.
- These setting determine where or how the location interacts with various aspects of the platform.
- With Enterprise there can be more than one Brand Setting in the location details.
Brand Settings Defined
- Will Call: Allows for Web, POS and VIP Pickup settings to be engaged via the check box.
Web: The location can be selected from a drop down upon clicking "I prefer to pick up my order" in the web (DW) checkout.
POS: The location will be listed in the POS as an option for pickup.
VIP Pickup: Those customers with the VIP Pickup box checked in their Customer Card will be able to pickup at locations with this selected.
Res Mgr: The location will be available for Floor Plans and Booking Agents.
The location also made available in the Calendar > Settings > Locations.
Has Inventory: In the Inventory Module the location can be assigned to pull inventory from.
Location Details
- Location name, physical address, phone, and time-zone for a location.
For inventory segregation, "virtual" locations can be utilized but they need a physical address, etc..
Example: Inventory is siloed to be pulled for wine club sales only. A location could be named "Wine Club" and share the same address as a storage/fulfillment warehouse. All products are pulled from the same physical location but the inventory is managed separately.
- NOTE: The eCELLAR tax service will apply sales tax most accurately when the zip plus 4 is included in this address.
Pickup Fulfillment
- With little exception this field will be populated with one of the IN-HOUSE options.
- One exception would arise in the scenario where a fulfillment house is utilized for pickup/will call orders. In this case, the field would be filled with the name of the fulfillment house.
In the drop-down the locations and their respective Pickup Fulfillment assignments are indicated.
If the designation is assigned in another location it will be indicated in parentheses.
This is an alert to adjust the settings so each Pickup designation is unique from each other.
Shipping Fulfillment
NOTE: Shipping orders will use the fulfillment designation in Shipping Zones and Methods.
The user can over-ride the defaults from zones and methods in the POS.
- The Shipping Fulfillment field here is used in conjunction with inventory movement so the following assumes the locations have inventory; that is the Brand Setting "Has INV" is checked.
If your fulfillment house is entered as one of your locations that you want inventory pulled from, this designation would be that fulfillment house from the drop-down menu. (Contact Support if your fulfillment house is not listed in the drop-down menu.)
When shipping from your winery, the designation would be one of the IN-HOUSE options for the setting in your winery or tasting room location.
- When utilizing a third-party shipper and the inventory originates from your winery or tasting room, you have the option to designate the third-party shipper(s) in this field for the setting in your winery or tasting room location.
Location Indicators
The Shipping Fulfillment menu displays the Locations and their corresponding Shipping Fulfillment designations in red parentheses, indicating fulfillment options that have already been assigned to a DIFFERENT location and should not be assigned to the currently edited location.
If the designation has more than one Location designated it will be indicated comma delimited in the parenthesis.
This is an alert to adjust the settings so each Location has a unique designation.
