Locations: Inventory and Fulfillment


  • Locations may hold inventory, serving as sales points as well as storage facilities. For instance, they may include tasting rooms, fulfillment houses, and warehouses.
  • Begin with first assessing what types of sales transactions occur:
    • Tasting Room sales (on-site)
    • Wine club and Web orders for pickup
    • Orders for shipment from In-house
    • Orders for shipment from a Fulfillment house 
  • Each of these transaction types may have their own distinct fulfillment methods, and each fulfillment method could be specifically associated with an Inventory Location. To create and manage locations in the Admin Control Panel, go to Company > Locations settings.
  • Each location can be individually activated as an inventory location in the Brand Settings.
  • Some locations may be used for other areas of business, and may not have inventory. Learn more about Location setup in this Article.
  • Locations and the corresponding settings and uses can be challenging to understand. Please reach out to Support with any questions and before taking action without full knowledge. Changes or the effects thereof could result in billable service time.


Determining Inventory Locations

When payment processing occurs for an order, inventory is invoiced (depleted) from a location configured for inventory. More on that in this article.


Pickup Fulfillment

  • In the Locations settings the Pickup Fulfillment field is used to determine the inventory pull location following these rules:
    • The Location has the "Has INV" box checked in the Brand Settings.
    • The designation is unique from other Location settings.
  • Example: For the Location Estate Tasting Room the Pickup Fulfillment is IN-HOUSE .

    The order result is: Inventory in pulled from the Location Estate Tasting Room and Fulfillment = IN-HOUSE.


Shipping Fulfillment

  • NOTE: Shipping orders will use the fulfillment designation in Shipping Zones and Methods.

    The user can over-ride the defaults from zones and methods in the POS.

  • The Shipping Fulfillment field here is used in conjunction with inventory movement so the following assumes the locations have inventory. That is, the Brand Setting "Has INV" is checked.

  1. If you want to designate your fulfillment house as one of your locations from which you wish inventory to be pulled, you can select the fulfillment house from the drop-down menu. (Contact Support if you fulfillment house is not in the drop-down menu.)

  1. When shipping from your winery, the designation would be one of the in-house options for the setting in your winery or tasting room location setting.


  1. When using a third-party shipper and sending inventory from your winery or tasting room, you have the option to designate the third-party shipper(s) in this field for the setting in your winery or tasting room location.



NOTE: The Allocation module is utilized to oversee limited product quantities. All allocation orders adhere to a single rule for determining inventory location for depletion. Allocation Sales Channel orders will deplete from the location set in Transaction Source Locations, irrespective of the fulfillment method. This enables all allocated products to be exclusively managed in their own location, if preferred.
