Booking Agents - Reservation Orders

As of August 2023 Booking Agents can include products and the subsequent creation of orders when a reservation is placed on your web site. This new feature resulted in a new Order Channel/Category: Reservations.

As with all new features, there are some Designer Widget elements that will require the attention of your designer (https://github.com/ecellar/remote-widgets/wiki/99-Updates#new-gift-card-and-reservation-functionality).


Booking Agent Order Set Up


In the Automate Section of the booking Agent Editor there are 3 settings related to Reservation Orders:

  1. Create Order: When checked -
    1. Shows new "Create Order" section in BA editor.
    2. Causes web site Reservation form to show order-related functionality.
    3. Enables related "Collect payment" and "Send order receipt" checkboxes.
  2. Collect Payment:  When checked -
    1. Causes web site Reservation > Submit to attempt CC auth/capture using selected payment method.
    2. Note: If checked and BA > Requires > Payment Method (in the Required section) setting is not checked, a Payment Method will still be required to create an order.
  3. Send Order Receipt:
    1. Causes web site > Reservation > Submit to send customer order receipt. This is an Email Template found under the Content tab in the Admin Panel.


Create Order Section

Included and Optional Products:

  1. Add Product link when clicked -
    1. Opens a product search field: autosuggest to select a product.
      1. Includes only products marked for Web and POS in the Product Detail.
      2. Search by product name or SKU.
      3. Will not show products that are already selected for the order.
    2. Optional Date Frame: Allows for product to be limited to desired dates.
    3. Per Person: Determines whether product is included once for the order or once for each guest.
    4. Hide: Zero dollar products can be hidden in the web site reservation and included in the order.
    5. Variants: If the product has variants none, some, or all can be shown in the web site reservation.


Optional Product Detailed Differences

  1. Max qty number input: Pre-set to use product max from Product Detail, but can be set higher (not lower) here.

    Note: If variants are involved, this becomes the combined max for the variants in the web site Reservation form.

  2. Qty increment number input: Pre-set to use product qty increment from Product detail, but can be set to a different number here.


Web Site View


  1. Included Product(s)
    1. Tasting Fee: Per person x 2 guests.
    2. Booking Fee: One time per reservation.
  2. Optional Products - "Enhancements"
    1. Variants are small and large.
    2. Max quantity is 12 for a combination of both sizes.
  3. Order Summary / Payment Information / Contact Information


Things To Know


  1. In the BA Editor, if the Create Order section has been populated with Included and/or Optional products, the Automate > Create order checkbox can be unchecked to disable the web site Reservation ordering functionality WITHOUT losing the information stored for Create Order.

    A user can then check the Automate > Create order checkbox to re-display the Create Order section with it's saved data, make any changes, etc. at a latter date.

  2. The web site Reservation form takes into account Product > Availabilities (from the Product Detail).
  3. Included/Optional products must be enabled for Web in the Product Detail.

  4. The discount engine is engaged in the web site Reservation form. Discounts are recalculated on the fly when relevant changes are made by the customer.

Administrative Control Panel (ACP) Settings


  1. Payment Gateway (requires high-level permission to access): Auth/cap for Reservations sales channel can be set is desired. Otherwise Reservations Orders will be saved from the web site Reservation form as Not Paid.
  2. Inventory Source Locations: While it is not advisable to create inventory products for tasting or booking fees, inventory will pull from the indicated Location for those products with an inventory SKU associated.

NOTE: Both of these can be complicated and should only be set or adjusted by those skilled users who are aware of the effects and results.



ACP Calendar


  1. Reservation orders are included on the reservation card
    1. Hover over displays an order summary.
    2. Clicking will pop up a message to navigate away from the calendar to the order detail.
